Terms of Service
These are the terms for using this site. The short version: we run the payment page for your healthcare provider. They decide what you owe; we take the payment and pass it to them. If something about the bill is wrong, they are the ones who can fix it.
Effective
About these terms
Patient Payments at patient-payments.com is operated by Reclaimly, Inc., a Delaware corporation. These terms apply whenever you use the site. By using it — and certainly by paying — you accept them.
If you do not accept them, do not pay here. Call your healthcare provider and pay them directly instead; that option is always open to you.
We are not your healthcare provider
This is the most important thing on the page. We did not treat you, we did not decide what you owe, and we do not hold your medical record. Your healthcare provider did all three, and hired us to show you the bill and collect the payment.
We give no medical advice, make no clinical judgement, and have no ability to change what you were charged for.
Where your balance comes from, and how to dispute it
The amount you see comes from your provider's billing system. It is what is left after every insurance payment, adjustment and discount they have on record. We display it; we do not calculate it.
- Wrong amount, wrong charge, or a bill you do not recognise
- Your provider. They hold your record and they are the only ones who can change a charge. You can ask them for an itemised bill.
- Insurance did not pay what you expected
- Your provider and your insurer. We have no relationship with your insurer.
- Paid twice, wrong amount taken, page would not work
- Us. Email info@reclaimly.com.
Your payment code
The five-character code in your link is what opens your bill. There is no password, so the code is the key — anyone who has it can see your balance.
- Keep it to yourself. Do not forward the link, post it, or read the code out to someone who called you.
- Do not try codes that were not given to you. Entering a code to reach a bill that is not yours is unauthorised access, and attempts are recorded.
- Codes are personal and time-limited. If yours has stopped working, ask your provider for a new link.
Paying someone else's bill
People often pay a bill for a partner, a parent or a child, and that is fine. By paying, you confirm two things: that you are allowed to use the card, and that you are allowed to pay this bill on this person's behalf.
Paying someone's bill does not give you any right to their health information. If you need the itemised charges, you will be asked to confirm the patient's last name and date of birth, and you should only do that if the patient would want you to.
Authorising a one-time payment
When you submit a payment you authorise us to charge the card for the amount shown on the screen, once. The charge is made straight away and cannot be recalled once it has been submitted.
- On your statement
- The payment may appear under your provider's name or ours rather than the name of the clinic you visited. If you see a charge you cannot place, email us before you dispute it with your bank — most disputes are a payment somebody did not recognise, and we can usually clear it up the same day.
- What you can pay with
- Credit and debit cards, HSA and FSA cards, a US bank account, and Apple Pay or Google Pay where your device supports them.
- Our fee
- We do not add a fee for paying here. You pay the amount on the screen and nothing more.
- Your receipt
- A confirmation appears on screen as soon as the payment goes through. Save or screenshot it if you want a record.
Payment plans and recurring charges
If your provider offers a payment plan, you can split the balance into monthly payments. There is no interest and no fee — you pay the same total either way.
Before you set one up, you will be shown the total, the amount of each payment, how many there are, and the date each one is due. Setting up the plan authorises us to charge that card automatically on those dates until the balance is cleared.
- The first payment is taken when you set the plan up.
- Every payment is the same size except the last, which is adjusted slightly so the payments add up to your balance exactly.
- While the plan is running you can change the card from the menu on your bill page.
- If a payment does not go through we will tell you, send you a link to update the card, and keep reminding you through the same channels your provider already uses. A payment that fails does not cancel your plan and does not add a fee.
- If you need the payments to stop, email us at info@reclaimly.com as early as you can and we will sort it out with your provider, who owns the balance. You can also instruct your bank to stop a payment.
Stopping the payments does not clear the balance. What is left is still owed to your provider, and they decide what happens next.
Consent to electronic records and signatures
Everything here happens electronically — the bill, the authorisation, the receipt. By using the site you agree to receive these records electronically rather than on paper, and you agree that clicking to authorise a payment is your signature.
- To get a paper copy of anything, including a copy of a payment authorisation, ask us and we will post it to you free of charge.
- To withdraw this consent, contact us. You can still pay — call your provider and pay them directly instead — but you will not be able to use this site.
- What you need: a device with an up-to-date web browser, an internet connection, and the ability to open and save a web page or a PDF.
Receipts and records
A confirmation appears on screen as soon as a payment succeeds. For a payment plan, you can see the status of every instalment on your plan page at any time using your code.
Need another copy of anything? Email info@reclaimly.com and we will send it.
Refunds
Your provider decides refunds, because the money is theirs and the bill is theirs. Ask them. If they approve one, we process it back to the card you paid with.
If we made the mistake — a duplicate charge, or the wrong amount — tell us and we will fix it without sending you to your provider first.
Chargebacks
You can dispute a charge with your bank. Please talk to us first: most disputes are a payment someone did not recognise on their statement, and we can usually resolve it the same day.
A chargeback reverses the payment. It does not cancel the bill — the balance goes back to your provider, who decides what happens next.
If the site is not working
We try to keep the service available, but we cannot promise it always will be. It may be unavailable for maintenance, or because something upstream of us has failed.
You are never stuck. Your provider can always take a payment directly — use a number you look up yourself — and a bill is not late because our page was down.
How you may use this site
Use it to look at your bill and pay it. Do not:
- Try codes you were not given, or use software to guess them.
- Scrape, copy or systematically collect anything from the site.
- Interfere with the site, get around its security, or test it without our written permission.
- Impersonate someone else, or pay a bill you have no right to pay.
Found a security problem? Please tell us at info@reclaimly.com rather than anyone else. We will not pursue anyone who reports a genuine issue in good faith and gives us a reasonable chance to fix it.
Disclaimer
The site is provided as-is. We do not warrant that it will be uninterrupted, error-free, or fit for any particular purpose, and we make no warranty about the accuracy of the balance, which comes from your provider.
Nothing here excludes any right you have under consumer law that cannot be excluded.
Our liability to you
If we take your money wrongly, we fix it. A duplicate charge, the wrong amount, or a payment we failed to pass to your provider — we will correct it in full, and nothing below limits that.
Beyond that, our total liability to you for anything arising out of your use of the site is limited to the amount of the payment the claim relates to. We are not liable for indirect or consequential losses.
We are not liable for what your provider does — including what they charge, whether they credit your account, or what they do about an unpaid balance.
Governing law and disputes
These terms are governed by the laws of Delaware. If a dispute has to go to court, it goes to the courts of Delaware — but you may always bring a claim in your local small claims court instead, and we would rather you did.
There is no forced arbitration here, and you do not give up your right to go to court or to join a class action. Before any of that, please just contact us: info@reclaimly.com. Almost everything is a mistake we can undo.
Accessibility
We aim to meet WCAG 2.1 Level AA. This site is currently built to that standard but has not yet had a formal accessibility audit.
If any part of this site stops you paying your bill, tell us at info@reclaimly.com and we will reply within five business days. If you cannot use this site at all, tell us and we will arrange another way to pay with your provider — the website must never be the reason a bill goes unpaid.
Changes to these terms
When these terms change, we change the date at the top of the page. There is no account here and no mailing list, so the date is the notice. The terms that apply to a payment are the ones published when you made it.
